Practice 2IC - Cannington - Full Time

St John Urgent Care clinics nestle themselves perfectly between the First Aid and Ambulance services of St John WA. We treat walk-in patients with urgent medical needs.



The role:

We are looking for a Practice 2IC on a Full Time basis at our Cannington Clinic, this role will commence immediately. You will support the smooth running of the St John Medical and Urgent Care practices by working efficiently and effectively, in-line with high quality processes and procedures which are designed to ensure the provision of a consistent level of service to Patients, Doctors and Clients.



What you will be doing:

The Practice 2IC works collaboratively with the Practice Manager to ensure the smooth running of the practice, coordinates and assists the Practice Manager and Practice Leads in rostering for all practice personnel and manages and coordinates the practice Reception teams. This role will be Monday to Friday, hours will range from 7.30am - 6pm. From time to time, a PM shift or weekend shift will be required.


Role and responsibilities:

  • Ensuring that administration and communications are managed effectively at the practice
  • Overseeing the maintenance of patient information
  • Planning, communicating with and rostering of all practice personnel
  • Working collaboratively with the Practice Manager and Practice Leads as required
  • Acts as the Practice Manager to cover leave, training and any other absences
  • Optimise patient retention by providing an excellent level of customer service and ensuring the Reception team is trained and coached accordingly
  • Ensuring highest acumen for privacy and confidentiality
  • Conduct and encourage performance reviews on a regular basis for Reception personnel providing constructive and relevant feedback
  • Liasing with Medicare and other external agencies as required
  • Engage in and seek ongoing professional development, training and coaching to ensure a senior level of knowledge and skills are acquired to relieve the Practice Manager as required
  • Rotational on call duties for weekends and Public Holidays (shared between all Practices)



Requirements for you to be successful:

Essential:


  • 2 plus years experience in a health services environment or similar administrative position
  • Experience in sub-supervision, coaching and training of other employees
  • Knowledge of health practice rostering
  • Excellent level of customer service
  • Relevant knowledge of MS Office suite as well as internet-based research
  • Excellent written and verbal communication skills with an ability to build rapport with all practice personnel and external providers
  • Proven ability in conflict resolution
  • Knowledge and understanding of operating efficiently in a Health Practice environment
  • Excellent knowledge of Medicare requirements
  • Certificate in Office Administration or equivalent
  • First Aid Certificate and Police Clearance (inside 3 months old)

Desirable:

  • Knowledge and experience using "Best Practice" software
  • Knowledge of Medicare Benefits Schedule
  • Previous involvement in accreditation
  • Extensive administrative experience within a health industry environment
